Hello my fellow Speech Therapists! And also a special shout out to my much appreciated social workers, occupational therapists, audiology assistants, grad students, physical therapists, and special educators (because I KNOW this post and freebie are going to serve you well, too!)

I hope the beginning of the school year is going wonderfully for you so far! I have always loved the start of the school year. Sometimes those first few weeks are crazy, but normally by the end of September, I really felt like I was getting into the flow of things.

By now I’d hopefully had a successful IEP Meeting, lesson plans being created and implemented, my speech rooms are finally decorated and all those new office supplies are still (mostly) organized. Within a month, I had finally cracked some smiles from my middle school and high school students, the daily schedule is understood and different education programs are starting to take off! Everything is going smoothly! 

Well that is except for the sticky notes and piles of papers that have started to accumulate. 

Big Organization in a Small Space: Speech Therapy Student File Organization Forms

One of the very best parts of being speech-language pathologists, or any therapist or teacher really, is the time we get to spend with our students and clients. But the fact will never change – data collection and student records will always be a part of the job description. There is constantly a lot of information swirling around in our heads, and for me, that information ended up on neon colored sticky notes, or random pieces of paper on my desk.

Contact information for one student’s guardian here, another student’s personal preferences there, my co-worker’s email address next to my planner, and my favorite blog’s weekly newsletter still on the printer. By the end of the first month back to school, it can NOT be denied – having an effective organizational system is crucial to being an impactful therapist. 

But it also can not be denied that as speech therapists, we are working with a potentially massive amount of information and things to remember, all while having access to a small space for organizing our things. Having things stored virtually is a really great idea, and one I recommend! In my 2024-2025 SLP Planner, there are interactive pdfs for you to log and keep track of your caseload, a CEU log, group data sheets, individual data sheets, a student progress report, planners by month or by day of the week, and an attendance record for your students and even an end of the year wrap up report form. It is a great resource to add to your SLP toolkit! 

There are different systems to organize all this information we have and need access to, but having a student file organization system is one thing that I have seen as a necessity across the board. It is necessary in speech therapy, occupational therapy, special education and more. And even if those giant metal file cabinets are not always the most aesthetically pleasing – let’s face it. The filing cabinet is here to stay. 

As therapists, we just NEED student folders with hardcopy access to things like a student’s individualized education program, IEP team info, attendance forms, contact information, and other student records.

This continuity improves the quality and effectiveness of interventions and educational strategies.
